Privacy policy
Last updated: 16 October 2026
This policy explains what information the StockChecka app collects, why, and what you can do about it. StockChecka is run by Brighter Future Technology LTD ("we", "us"). You can contact us at support@stockchecka.com.
What we collect
- Account details. Your email address and a password (stored securely by our sign-in provider, never visible to us).
- Business and stock data. The business name, items, quantities, units, locations, par levels, suppliers, expiry dates and waste records you enter. If you scan a product, its barcode number is saved with the item.
- Team details. If you join a business, your email address is visible to that business's Managers, and to Head Office if the business is linked to a group, so they can manage access.
- Settings. Choices such as your preferred voice and whether to show empty items.
Voice features
When you tap the microphone, the app uses your phone's built-in speech recognition. Depending on your device, your phone's speech service (usually provided by Google) may process the audio to turn it into text. StockChecka does not record or store your voice. Only the resulting text command is used. Spoken replies are produced by your phone's text-to-speech service. The app asks for microphone permission, which you can withdraw at any time in your phone's settings.
Barcode scanning
When you tap the barcode icon, the app uses your phone's camera to read the barcode. The camera picture is processed on your phone only. We do not record, save or upload photos or video. The app asks for camera permission, which you can withdraw at any time in your phone's settings.
To suggest a product name, the app sends the barcode number to Open Food Facts, a free, community-run product database run independently of us. That request contains the barcode number, the name of our app and a contact address, and, as with any internet request, your device's IP address. It does not include your account, your business or your stock. Open Food Facts handles that request under its own privacy policy. Product names come from Open Food Facts data, which is made available under the Open Database Licence and may be wrong or incomplete.
How we use it
We use your information only to run the app: to sign you in, show your stock to you and your team, and keep your data in sync between devices. We do not sell your data and we do not show advertising.
Where it's stored
Data is stored using Google's Firebase services (Authentication and Cloud Firestore). Google acts as our service provider and may process data on servers outside the UK. Data is protected by access rules that limit each business's stock to its own members. Barcode lookups, described above, are the only time the app contacts a further service, and they contain only the barcode number.
Who can see your data
Only the people in your business (its Managers and the staff who joined with a code), Head Office if the business has been linked to a group and agreed to share with it, and our service providers as described above (Google for storage and sign-in, and Open Food Facts for barcode lookups, which receives only the barcode number). We do not share your data with anyone else except where required by law.
Keeping and deleting data
We keep your data while your account is active. You can delete your account yourself in the app: open the three-dot menu, choose Settings, then Delete my account. You will be asked for your password. What happens depends on your role:
- Everyone: your login (your email address and password) and your settings are deleted, and you are signed out.
- Staff and Managers: you are removed from the business's team list. The business's stock and records stay with the business.
- Main Manager who is the only person in a business: the business is deleted, with all its stock, activity log and waste log. If other people are still in the business, you need to hand over the role or remove them first.
- Head Office (a person who runs a group): the group is deleted and its sites are unlinked. Each site keeps its own data.
Records that stay with a business. A business's activity log and waste log record who made each change, using their email address. These logs are the business's own records, so entries you made stay in them after you leave a business, and Managers (and Head Office, if the business is linked to a group) can still see your email address on those entries. If you want your email address removed from them, email us at support@stockchecka.com and we will replace it with "Deleted user" within 30 days, unless the law requires the business to keep it.
Copies held in routine backups are removed as those backups expire. If you cannot use the app, you can ask us to delete your account by emailing us from the address you signed up with. If you subscribe to a paid plan through an app store, deleting your account does not cancel the subscription. Cancel it in your store's subscription settings.
Your rights
Under UK data protection law you can ask to see, correct or delete the personal data we hold about you, and you can object to how we use it. Email us to do any of these. If you're unhappy with our response, you can complain to the Information Commissioner's Office (ico.org.uk).
Children
StockChecka is a business tool and isn't intended for children under 16.
Payments
The Free plan collects no payment information. If a paid plan is offered, payments will be handled by Google Play or the Apple App Store, and we will not see or store your card details.
Changes
If we change this policy we will update the date above and, for significant changes, tell you in the app or by email.
